Wikipedia describes the term document management system (translated from the German Wikipedia version): ‘The term document management (also document management system) refers to the database-supported administration of electronic documents. In German, it also refers to the management of digitised, originally paper-based documents in electronic systems and is also used in a broader sense as an industry term.’
A document management system manages all types of objects. The centralised availability of all relevant documents means that efficient management is possible at all times without time-consuming document searches.
Any files can be linked together in DMS software, stored together in folders or searched for, regardless of whether they are text files, scanned images, incoming faxes, e-mails, Tiff graphics, CAD drawings, XML, HTML documents, references to paper documents or other attachments. A document management system offers a physically distributed, both single- and multi-server-orientated, central filing system that appears completely transparent to the user, i.e. the user does not have to worry about where his documents are filed or how they are saved or archived. They work with a consistent interface whose structure reflects their office organisation and not their hardware requirements.
